How to reduce no-shows at your salon
Most no-shows are not deliberate. They are forgotten appointments, and the fix is timing and friction, not just penalties.
Most no-shows are forgotten, not deliberate
It is tempting to treat every no-show as a client who did not care. In practice, most no-shows happen because the appointment was booked weeks ago and simply slipped the client’s mind, not because they decided not to come. That distinction matters because it changes the fix: better reminders, not just penalties.
What the research says about reminders
A 2023 systematic review of 61 studies, published in BMC Health Services Research, found that reminder systems, including SMS reminders, reduce appointment no-shows. The review looked at healthcare appointments, but the underlying mechanism, a timely reminder catching someone before they forget, applies just as well to a salon booking.
Timing matters more than a single early reminder
A reminder sent a week in advance is useful, but it is easy to forget again in the days that follow. A second reminder closer to the appointment, the day before or the morning of, catches the clients who would otherwise still miss it.
Deposits and cancellation fees: where they help and where they don’t
A deposit reduces no-shows for clients who might otherwise treat the booking casually, but requiring one from every new client can put off people who are simply trying the salon for the first time. Many salons apply it selectively, for repeat no-shows or high-demand time slots, rather than across the board.
Make rescheduling easier than not showing up
A client who can reschedule with a quick text reply is more likely to do that than a client who has to call during business hours. Removing friction from rescheduling turns some no-shows into reschedules instead, which keeps the client and often fills the slot with someone else.
Where automation helps
Sending a well-timed reminder and an easy reschedule option to every client, every time, is difficult to keep up manually. Rebook automates appointment reminders and no-show follow-up so the timing is consistent without relying on staff to remember for every booking.
Frequently asked questions
Do reminder texts actually reduce no-shows?
Yes. A 2023 systematic review of 61 studies, published in BMC Health Services Research, found reminder systems, including SMS, reduce appointment no-shows. Salon appointments are not healthcare, but the same forgetting behaviour applies.
When should a reminder be sent?
Close to the appointment, not only days in advance. A reminder sent a week out is easy to forget again by the time the appointment arrives. One closer to the day, alongside an earlier one, catches more people.
Should salons charge a no-show fee?
It depends. A deposit or cancellation fee reduces no-shows for some client segments but can put off new or price-sensitive clients if applied too broadly. Many salons reserve it for repeat no-show clients rather than everyone.
Does easy rescheduling help?
Yes. A client who can reschedule by replying to a text is far more likely to do that than simply not show up, compared to one who has to call during business hours to change a booking.
